Terms and Conditions
Woodstock Cyclones Youth Wrestling

Effective Date: 03-01-2025

These Terms and Conditions (“Agreement”) govern your use of the Woodstock Cyclones Youth Wrestling (“we,” “our,” or “the Club”) website and participation in any program, event, or service we offer. By accessing our website or registering for any activity, you agree to these terms in full. If you do not agree, please do not use our services or website.

1. Eligibility and Participation

  • Participation in club activities is open to children ages 5–14 (K-8th), subject to registration approval.

  • Parents/guardians must provide accurate and complete information during registration.

  • Participants must comply with club policies, safety procedures, and coach instructions.

2. Registration and Payment

  • Registration is not confirmed until payment has been received and all required documents (including waivers and medical release) are submitted.

  • The Club reserves the right to deny or revoke registration at any time for violations of these terms or club policies.

3. Refund Policy

  • A full refund may be requested within 14 days of initial registration.

  • No refunds will be issued 30 days or fewer before the start of the first practice.

  • This policy is in place because practice uniforms, insurance, and facility rentals are arranged well in advance based on registration numbers.

  • All refund requests must be made in writing to woodstockcyclones@gmail.com and are subject to approval.

4. Code of Conduct

All participants, parents, and guardians agree to:

  • Exhibit respectful, sportsmanlike behavior toward coaches, officials, teammates, opponents, and spectators at all times

  • Avoid abusive, threatening, or disruptive conduct at practices, events, or tournaments

  • Uphold team values and contribute to a positive, safe environment for all athletes

Zero Tolerance Policy:

  • Woodstock Cyclones Youth Wrestling has a strict zero tolerance policy for fighting, bullying, or any physical or verbal aggression between athletes, coaches, or spectators. This includes horseplay that escalates, retaliation, or intimidation.

  • Likewise, parents and guardians must refrain from engaging in confrontations, disruptive behavior, or any acts of aggression at practices, meets, or tournaments.

  • Any such actions will result in immediate disciplinary action, which may include suspension or permanent removal from the program without refund.

Violation of this code may result in immediate suspension or dismissal from the program at the discretion of the coaching staff and board.

5. Assumption of Risk and Release of Liability

Participation in wrestling activities carries inherent physical and emotional risks. By enrolling your child in Woodstock Cyclones Youth Wrestling, you acknowledge and accept the following:

  • You fully understand and voluntarily assume all risks of participation, including but not limited to: falls, contact with other participants, equipment failure, facility hazards, and risks of serious injury such as sprains, fractures, concussions, paralysis, or death.

  • You agree that participation is voluntary and your child is in good physical condition and medically cleared to participate.

  • You hereby release, forever discharge, and covenant not to sue Woodstock Cyclones Youth Wrestling, its board members, coaches, volunteers, staff, affiliated organizations, sponsors, and facility owners (collectively, "Releasees") from any and all liability, claims, demands, actions, or causes of action arising out of or related to any injury, loss, or damage that may be sustained by your child or you, whether caused by negligence or otherwise, to the fullest extent allowed by law.

  • This release includes any and all claims for personal injury, disability, death, medical expenses, or property damage, and shall be binding upon you, your heirs, executors, administrators, successors, and assigns.

  • You further agree to indemnify and hold harmless the Releasees against any claim, damage, or cost (including attorneys’ fees) arising from participation in the program or breach of these terms.

This release of liability is intended to be broad and inclusive and interpreted under the laws of the State of Illinois. If any portion is held invalid, the remainder shall remain in full force and effect.

6. Intellectual Property

All content on the Club website, including text, images, logos, and downloadable materials, is the property of Woodstock Cyclones Youth Wrestling or its content creators. Unauthorized use is prohibited.

7. Privacy

Your privacy is important to us. Please refer to our Privacy Policy for how we collect, use, and protect your information.

8. Modifications

We reserve the right to update or modify these Terms and Conditions at any time without prior notice. Continued participation or website use after changes constitutes acceptance of the new terms.

9. Governing Law

This Agreement shall be governed by and interpreted in accordance with the laws of the State of Illinois, without regard to conflict of law principles.
